Job Description:

Temporary Contract, 6 Months

The Grants Specialist will provide support for the Grants team. S/he will be responsible for scheduling all committee meetings the team is responsible for and managing the associated logistics including timely distribution of materials, tracking attendance and coordinating agenda and meeting minutes. The Specialist will also help with the initial review of sponsorship applications and will also manage the contracting and finance needs of the team by initiating charitable donation and medical education contract requests, POs and coordinating related invoicing. S/he will also be responsible for reporting financial information in support of Global Spend Transparency reporting. The Specialist will act as a key member of the grants team by assisting with the generation of metrics reports, providing budget updates, ensuring reconciliation of approved sponsorships, and will act as a contact for general grant and sponsorship inquiries by overseeing the Vertex Grants inbox, ensuring that all incoming emails are properly triaged.

Key Responsibilities:
  • Create and maintain open lines of communication with all internal stakeholders and external contacts
  • Clearly communicate the responsibilities of the Vertex grant policies and procedures to all internal and external stakeholders
  • Oversee the Vertex Grants Inbox
  • Organize all Grant Committee Meetings, track attendance, and coordinate agenda and meeting minutes
  • Assist with the review of all new grant requests
Required/Desired Skills
  • Ability to complete goals within allotted timeframes and deliver high quality results
  • Ability to initiate, plan, and complete high volume projects while working under tight timelines. Ability to multi-task is important
  • Strong attention to detail
  • Strong writing and oral presentation skills that demonstrate maturity and an understanding of the sensitivity of the information being conveyed to applicants and to the Grant Committee members
  • Proactive attitude with strong initiative and ability to identify issues and create solutions
  • Strong database navigation skills to handle metric reporting and grant system upgrades and testing as required
  • Strong analytical skills in working closely with GST Team on state, federal and international reporting requirements
  • Strong organizational skills to facilitate preparation of agenda and minutes for all Vertex Grant Committee meetings
  • Knowledge of the grant processes and supported activities, including contracting and payments, and insuring that all activities are consistent with requirements and guidelines of FDA, OIG, ACCME, AMA and PhRMA Code
  • Point person for Finance on the tracking and reporting of all payments, accruals, and forecasts
  • Ability to use Microsoft Office programs (Word, PowerPoint, Excel)
  • Positive attitude and good sense of humor

Qualification:

  • BA degree or equivalent
  • Min. 1-3 years business experience, ideally in a pharma/biotech and/or hospital/academic grant-making setting.
